Job Description

As the Front Office & Admin Executive at Swojas Group, you will be the welcoming face of our established real estate office, ensuring all front desk and administrative operations run seamlessly. Your role involves managing daily interactions with visitors, clients, and vendors, coordinating office facilities, and providing reliable administrative support to ensure a professional and organized workplace. This is a key support role for someone who takes ownership and enjoys keeping operations smooth.

• Welcome and assist visitors, clients, and vendors with professionalism and warmth.
• Manage front desk activities including calls, appointments, visitor logs, and courier coordination.
• Ensure smooth upkeep of the reception area and overall office facilities and cleanliness.
• Coordinate with vendors, housekeeping, and service providers for daily office needs.
• Support meetings through coordination, note-taking, and follow-up actions.

You will also play an important role in maintaining office systems and providing basic HR coordination support. This includes managing supplies, maintaining records, handling documentation, and assisting with employee engagement—all contributing to a well-organized and positive work environment.

• Manage office supplies, pantry stock, and routine administrative requirements.
• Maintain accurate office records, registers, and documentation.
• Coordinate safe handling and movement of documents between internal teams.
• Maintain attendance, leave, and holiday records for staff.
• Assist with basic HR documentation such as offer letters and onboarding support.
• Help organize employee engagement activities and support internal communication.

Skill Requirement

We are looking for a dependable, proactive professional with strong interpersonal skills and a keen eye for detail. The ideal candidate is fluent in multiple languages, comfortable with office and productivity tools, and capable of managing responsibilities independently with minimal supervision.

• Strong interpersonal skills with a pleasant, professional, and warm personality.
• Fluent in English, Hindi, and Marathi—both spoken and written.
• Proficient in MS Office (Excel, Word) and comfortable using tools like ChatGPT and Canva.
• Organized, detail-oriented, and able to manage multiple tasks smoothly.
• Proactive in following up on tasks and ensuring closure without repeated reminders.
• Dependable, consistent, and willing to learn new systems and processes.

Preference will be given to candidates with prior experience in front office, administration, or HR support. A positive attitude and ability to work full-time from our Pune office are essential.

• 2–3+ years of experience in front office, administration, or HR support is preferred.
• Ability to work full-time, on-site, Monday to Saturday from our office location.
• Must be currently based in or ready to relocate to Pune.
