Job Description

We are looking for a proactive and detail-oriented Office Executive to manage the day-to-day administrative and commercial operations of our office. In this role, you will be the central point for client communication, quotation preparation, and internal coordination. Your ability to handle multiple tasks with precision—from drafting proposals and responding to client inquiries to coordinating with the sales team—will ensure smooth office functionality and enhance client relationships. This position requires a professional who is organized, communicative, and confident in managing both administrative and client-facing responsibilities.

Key Responsibilities:
• Prepare, update, and maintain accurate records of quotations, commercial proposals, and purchase orders, ensuring timely follow-ups.
• Professionally respond to client emails, manage phone inquiries, and communicate effectively to address order status, requests, and follow-ups.
• Coordinate daily office operations, including filing, documentation, vendor communication, and scheduling appointments or meetings.
• Actively follow up with clients on pending inquiries, payments, and required documentation to ensure seamless transaction flow.
• Generate daily and weekly reports on inquiries, quotation status, and orders, and maintain updated records in CRM systems or Excel trackers.
• Assist in preparing technical and commercial documents as needed and support internal teams in achieving operational targets.

Skill Requirement

The ideal candidate is a graduate with strong communication skills and proficiency in office tools. You should be well-organized, capable of multitasking, and comfortable in a client-facing role. Prior experience in sales coordination, administration, or customer service is an advantage, but a proactive attitude and the ability to work independently are equally valued.

Required Skills & Qualifications:
• Graduate degree in any discipline; background in Business or Commerce is preferred.
• Proficiency in MS Office, particularly Excel, Word, and Outlook.
• Strong written and verbal communication skills in English and Hindi.
• Excellent organizational and multitasking abilities with a keen eye for detail.
• Ability to work independently and interact confidently with clients and internal teams.
• Immediate joining is preferred.
