Job Description
We are seeking a dynamic, trustworthy, and highly organized Secretary/Executive Assistant to provide comprehensive support to the CEO at our Mumbai headquarters. This is an office-based role that also requires mobility for errands and in-person coordination tasks, ensuring the CEO’s daily operations run smoothly and efficiently.
Key Responsibilities:
• Provide executive support by managing the CEO’s daily priorities, calendar, appointments, and deadlines.
• Coordinate and follow up on tasks with internal departments and external partners, keeping the CEO informed on all developments.
• Manage all travel and logistics, including booking flights, hotels, and transportation, and preparing detailed itineraries.
• Handle personal and corporate gifting, purchases, deliveries, and special occasion coordination as directed.
• Perform administrative duties such as preparing documents, managing files, handling correspondence, and taking meeting minutes.
• Be available for urgent tasks beyond standard hours and maintain the highest levels of confidentiality and professionalism.
• Utilize a valid driver’s license to assist with travel, errands, document submission, and other mobility-related tasks as needed.
Skill Requirement
The ideal candidate is a proactive, discreet, and skilled communicator with significant experience in executive support, capable of managing a wide range of administrative and personal tasks with precision and care.
Requirements:
• Bachelor’s degree in Business Administration, Commerce, Arts, or an equivalent field.
• 2–5 years of proven experience as an Executive Assistant, Personal Assistant, or Secretary, preferably supporting C-level executives.
• Mandatory fluency in English, Hindi, and Marathi (both spoken and written).
• Excellent organizational, communication, and interpersonal skills.
• Proficiency in MS Office (Word, Excel, Outlook) and tools like Google Calendar, Zoom, or MS Teams.
• Strong ability to multitask, handle sensitive information, and work under pressure.
• Must hold a valid driver’s license and be confident with city driving for errands and coordination.
• High degree of trustworthiness, punctuality, and self-motivation.
