Backoffice Sales Coordinator

Job Description

We are looking for a detail-oriented and proactive Sales Support & Coordination Executive to provide essential administrative and operational backing to our sales team. This role is crucial for ensuring smooth order processing, accurate documentation, and effective coordination between sales, dispatch, and billing departments. The ideal candidate will be instrumental in maintaining customer records, preparing sales documents, and generating insightful reports to support business growth.

Key Responsibilities:

Sales Administration & Support: Assist the sales team with daily operations, including preparing quotations, proforma invoices, purchase orders, and Material Test Certificates (MTC).

Order & Coordination Management: Coordinate with the dispatch department to ensure timely delivery of products and liaise with the billing department for seamless invoice processing.

Data Management & Reporting: Maintain updated customer records in the CRM system and invoice data in Excel. Generate and analyze daily, weekly, and monthly sales reports to provide actionable insights.

Additional Duties: Support tender search activities, manage daily employee reports on MS Teams, and update customer data from exhibitions into Excel and the ODDO system.

Skill Requirement

We are seeking an organized and meticulous individual with excellent coordination skills and a knack for data management. This role is well-suited for a fresher or someone with foundational administrative experience who is eager to learn and grow within a sales operations environment. Required Skills & Qualifications:

Education: A bachelor’s degree in Business Administration, Commerce, or a related field is preferred.

Technical Proficiency: Strong command of MS Office, especially Excel, and a willingness to learn CRM and other enterprise systems (like ODDO).

Organizational Skills: High attention to detail, ability to manage multiple tasks simultaneously, and strong documentation skills.

Communication & Teamwork: Good verbal and written communication skills with the ability to coordinate effectively across different departments.
