Job Description

The Clinical Coordinator is the central, caring point of contact for patients throughout their fertility treatment journey at our IVF clinic. This critical role ensures every patient feels continuously supported, clearly informed, and compassionately cared for from initial consultation through to cycle completion. You will manage all patient communication, provide timely updates, and expertly coordinate between doctors, nurses, embryologists, and administrative teams to guarantee a seamless, smooth, and well-organized treatment experience. We are looking for a highly empathetic, meticulously organized, and patient-centered professional dedicated to supporting individuals during a deeply meaningful and often challenging time.

Key Responsibilities:
• Act as the primary liaison for patients, providing clear explanations, emotional support, and timely updates throughout their treatment cycle.
• Manage and facilitate seamless coordination between the clinical team (doctors, nurses, embryologists) and patients, ensuring all appointments, procedures, and communications are aligned.
• Schedule and confirm all patient appointments, procedures, and follow-ups, maintaining an organized and efficient clinic calendar.
• Accurately document and update patient information, treatment plans, and progress notes in the Electronic Health Record (EHR) system.
• Educate patients on treatment protocols, medication schedules, and pre/post-procedure instructions, ensuring they feel prepared and confident.
• Handle patient inquiries with sensitivity and discretion, escalating clinical concerns to the appropriate medical professional when necessary.

A genuine passion for supporting patients through their fertility journey is essential.

Required Skills & Qualifications:
• A mandatory degree in BHMS (Bachelor of Homeopathic Medicine & Surgery) or BAMS (Bachelor of Ayurvedic Medicine & Surgery).
• A minimum of 4 years of hands-on experience in a direct patient-facing role, preferably within a healthcare, fertility, or women’s health setting.
• Outstanding verbal and written communication skills, with a natural ability to build rapport, convey complex information clearly, and provide empathetic support.
• Exceptional organizational and time-management abilities, with a keen eye for detail and proficiency in managing multiple patient cases simultaneously.
• High proficiency in using Electronic Health Record (EHR) systems and the Microsoft Office Suite (especially Outlook, Word, Excel).
