Job Description

This dual-role position combines the essential front-desk functions of a Dental Receptionist with the consultative patient-care focus of a Treatment Coordinator. You will be the welcoming first point of contact for all patients and a guiding support throughout their treatment journey. Your primary objective is to ensure the smooth daily operation of the practice while helping patients understand and confidently proceed with their recommended dental care, directly contributing to patient satisfaction and practice growth.

Key Responsibilities:

Reception & Administrative Duties:
• Warmly greet all patients and visitors, both in-person and via telephone.
• Manage the full appointment lifecycle: booking, confirmations, rescheduling, and cancellations.
• Handle all inbound patient enquiries through phone, email, and web forms.
• Process payments, issue receipts, and perform daily financial reconciliation.
• Maintain accurate patient records, manage GDPR consents, and update the Practice Management System (PMS).
• Monitor and schedule patient recall appointments and follow-ups.
• Ensure the reception and waiting area remains clean, calm, and professional.

Patient Coordination & Treatment Support Duties:
• Conduct initial new patient consultations and triage to assess needs.
• Present detailed treatment plans clearly using visuals, videos, and printouts.
• Discuss treatment fees, available finance options, and consent processes transparently.
• Proactively follow up with patients to answer questions and support case acceptance.
• Track key conversion metrics from initial enquiry through consultation to treatment start.
• Support clinicians by preparing treatment plans and completing necessary follow-ups.
• Coordinate with the marketing team on new patient flow and campaign effectiveness.
• Conduct End of Treatment reviews and collect patient testimonials or video reviews.
• Utilize tools like intraoral scanners, smile simulation software, and CRM as trained.
• Attend daily huddles to review the patient pipeline and opportunities.

Key Requirements:
• Education: Bachelor’s degree is preferred.
• Location: Must reliably commute or plan to relocate to Pimpri-Chinchwad, Maharashtra.
• Skills: Excellent verbal and written communication skills, strong organizational abilities, and basic financial acumen for payment processing.
• Technical Proficiency: Experience with or ability to learn dental Practice Management Software (PMS), CRM systems, and basic dental presentation tools.
• Patient-Centric Approach: A natural empathy, patience, and the ability to explain complex information clearly and reassuringly.
• Initiative: A proactive mindset for patient follow-up, problem-solving, and contributing to practice growth through case conversion and service promotion.
