Job Description

We are looking for an exceptionally organized and proactive Executive Assistant to provide high-level administrative support to our Directors. In this pivotal role, you will be the central point for managing schedules, communications, and meetings, ensuring the Directors’ time is optimized and priorities are met. You will handle a wide range of tasks—from coordinating complex diaries and taking minutes to drafting correspondence and preparing presentations—with the utmost discretion and professionalism.

Key Responsibilities:
• Manage and coordinate the Directors’ complex calendars, including organizing, scheduling, and prioritizing meetings and appointments.
• Prepare meeting agendas, take accurate dictation and minutes, and distribute conclusions and action items.
• Review, prioritize, and respond to incoming mail and correspondence on behalf of the Directors.
• Draft letters, reports, and documents as required, ensuring high quality and accuracy.
• Prepare materials for meetings, including presentations, charts, and graphs.
• Set up and manage video conferencing systems for virtual meetings.
• Establish and maintain efficient filing and record management systems.
• Provide timely reminders and ensure the Directors are prepared for all commitments.

The ideal candidate is a detail-oriented professional with excellent communication skills and the ability to anticipate needs and work independently. You must be able to handle confidential information with integrity, manage multiple tasks under pressure, and maintain a high standard of work in a dynamic environment.

Required Qualifications & Skills:
• A Bachelor’s degree is required.
• Minimum of 3 years of total work experience, preferably as an Executive Assistant, Personal Assistant, or in a similar administrative role supporting senior management.
• Exceptional proficiency in written and spoken English.
• Advanced skills in MS Office (Word, Excel, PowerPoint) for creating documents, presentations, and graphs.
• Outstanding organizational, time-management, and multitasking abilities.
• Strong interpersonal skills and the ability to interact with all levels of staff and external contacts.
• High level of discretion, professionalism, and a proactive approach to problem-solving.
