Job Description

As the Front Desk Executive for Study Smart, you will serve as the first point of contact, creating a welcoming and professional environment for students, parents, and visitors. You will manage all front office operations, including greeting guests, handling communications, and ensuring the reception area is organized and presentable. Your role is central to providing excellent first impressions and facilitating smooth daily operations through effective coordination and support.

• Greet and welcome students, parents, and visitors in a friendly and professional manner.
• Answer and direct incoming calls, emails, and WhatsApp messages; take and relay accurate messages.
• Manage the reception area, ensuring cleanliness, proper seating, and maintenance of visitor logs.
• Schedule, confirm, and follow up on appointments for counselling sessions, enrolments, and parent meetings.
• Handle incoming and outgoing mail, parcels, and deliveries efficiently.

You will also provide essential administrative support to various departments, helping to maintain organized records and smooth office workflow. This includes updating student databases, assisting with routine correspondence, and supporting basic inventory management. Your role contributes directly to upholding the institution’s professional brand and service standards.

• Maintain and update student/visitor records and databases using CRM or Excel systems.
• Support administrative tasks such as photocopying, scanning, filing, and preparing routine correspondence.
• Coordinate with teaching staff, admin, and sales teams for seamless daily operations.
• Provide basic information about courses and programs, guided by institutional protocols.
• Assist with office supply inventory and order requests as needed.

Skill Requirement

The ideal candidate is a presentable, communicative individual with a customer-centric approach and strong interpersonal abilities. Proficiency in English, Hindi, and Marathi (or the local language) is essential, along with basic computer skills and the ability to multitask in a dynamic environment.

• Excellent written and spoken communication skills in English, Hindi, and Marathi (or local language).
• Friendly, polite, and professional personality with strong relationship-building skills.
• Basic proficiency in MS Office (Word, Excel, Outlook) and comfort with office tools.
• Ability to multitask, stay organized, and manage time effectively.
• Customer service orientation with patience and a positive attitude.

Prior experience in a front-office or administrative role is preferred, but motivated freshers with a strong aptitude will be considered. A professional appearance, strong attendance, and confidence in public speaking or event coordination are valued assets.

• Previous experience of 1–2 years in front office, reception, or administration is preferred.
• Professional appearance and strong commitment to punctuality and attendance.
• Confident public speaker with event management expertise is a plus.
• Minimum educational qualification: Diploma or Bachelor’s degree in any stream.
