The Front Office & Coordination Executive is a vital administrative role within our law firm, responsible for managing all client-facing communications, appointment scheduling, and the secure handling of confidential legal documentation. This position acts as the primary link between clients, advocates, and managing partners, ensuring all interactions and document flows are organized, professional, and traceable. The role demands a high degree of discretion, meticulous attention to detail, and disciplined record-keeping.
Your responsibilities will cover front office management, client coordination, and legal document handling. Key duties include:
• Receiving client calls, emails, and walk-ins in a courteous and professional manner.
• Scheduling, confirming, and managing appointments for clients with advocates and partners, maintaining an updated firm calendar.
• Maintaining strict inward and outward control for all legal documents (case files, affidavits, petitions) and recording every document transaction.
• Ensuring appointment confirmations, changes, and reminders are communicated promptly via SMS, WhatsApp, or email as per office protocol.
• Recording and maintaining a Client Interaction Register or CRM entry for each inquiry and correspondence.

The ideal candidate will be a polished communicator with strong organizational skills, an understanding of confidentiality in a legal setting, and the ability to manage multiple tasks efficiently. Professionalism, reliability, and a customer-service mindset are essential.
Must-have qualifications:
• Bachelor’s degree in any discipline.
• Minimum 3 years of experience in front desk, reception, or administrative roles, preferably in a legal or professional services environment.
• Fluency in English and Marathi (both written and spoken) is required.
• Proficient in using office software (MS Office, email, calendar management) and basic CRM or record-keeping tools.
• Strong organizational skills with an emphasis on accuracy and confidentiality.
Preferred attributes:
• Experience in a law firm or corporate legal department.
• Familiarity with legal documentation, filing systems, and appointment scheduling protocols.
• Ability to handle sensitive information with integrity and discretion.
