Job Description
We are seeking a highly organized and proactive professional to ensure the seamless daily operations of our office. This central role is responsible for managing administrative workflows, providing exceptional front-desk hospitality, and supporting key organizational functions to maintain an efficient and welcoming workplace.
Key Responsibilities:
Office & Administrative Management:
Serve as the first point of contact, managing the reception area with professional hospitality, greeting visitors, and handling incoming communications.
Provide comprehensive office support, including supply inventory, mail distribution, and maintaining a clean, functional workspace.
Oversee maintenance coordination for office equipment and facilities, liaising with service providers.
Operations & Vendor Coordination:
Execute essential administrative operations to ensure smooth inter-departmental workflow.
Handle vendor management, including procurement, negotiation, and relationship management for office services and supplies.
Data, Documentation & Payroll Support:
Manage document management systems, ensuring accurate filing, retrieval, and confidentiality of physical and digital records.
Maintain accurate master data in company databases and systems (e.g., employee records, vendor lists).
Support the payroll processing cycle by compiling and verifying attendance management data, leaves, and other relevant inputs.
Skill Requirement
The ideal candidate will be a detail-oriented multitasker with excellent interpersonal skills and a strong sense of discretion.
Required Skills & Competencies:
Proven experience in administrative operations and office support.
Strong organizational skills for effective document management and master data maintenance.
Experience in vendor management and coordinating maintenance requests.
Proficiency in MS Office (Excel, Word) and office management software.
Excellent verbal and written communication skills for reception & hospitality duties.
Preferred Experience:
Prior exposure to supporting attendance management and payroll processing.
Ability to handle confidential information with integrity.
Proactive problem-solving attitude and ability to work independently.
