Job Description

The Operations Coordinator plays a central role in ensuring seamless workflow and communication across sales, operations, accounts, and customer teams. This position is responsible for coordinating service activities, preparing and managing critical documentation, and following established processes to facilitate smooth project execution and client satisfaction. The coordinator acts as a vital link between internal departments and external customers.

Key Responsibilities:

Document & Order Management: Create Service Orders/Job Cards and Sales Orders in the ERP system. Prepare draft invoices and coordinate with accounts for final invoice generation and dispatch.

Customer & Vendor Coordination: Liaise with customers for gate passes, site intimation, and document submission. Coordinate with inspection teams for reporting and voucher collection.

Logistics & Administration: Handle technician ticket bookings, manpower documentation updates, site advance requests, and the packing/dispatch of invoices and reports.

Reporting & Follow-up: Maintain weekly reporting, conduct payment follow-ups with customers, and ensure all compliance documents are submitted to clients via HR.

Process Adherence: Ensure timely ERP updates, invoice dispatches, and systematic follow-up to uphold operational efficiency.

Required Competencies & Qualifications:

Knowledge: Familiarity with documentation, service order/invoice processes, and vendor registration is advantageous. ERP system experience is a plus.
