Job Description

As a Telephone Operator, you will be the vital first voice and connection point for our organization, expertly managing all incoming and outgoing calls. Your primary mission is to ensure efficient call routing, provide accurate information, and offer courteous, professional assistance to every caller. This role is central to maintaining smooth internal and external communications and upholding our company’s professional image.

Key Responsibilities:
• Professionally answer, screen, and direct a high volume of incoming calls to the appropriate personnel or department with speed and accuracy.
• Provide basic information to callers, such as company directions, office hours, and departmental contacts, while maintaining confidentiality.
• Operate and manage telephone switchboard or multi-line phone systems, placing outgoing calls and setting up conference calls as requested.
• Perform paging or emergency notification procedures according to established protocols in case of urgent situations.
• Take and relay detailed messages accurately, ensuring timely delivery to the intended recipient.
• Assist with basic administrative support, including managing call logs and updating internal directories

Skill Requirement

You must possess a clear, pleasant speaking voice and the ability to handle a fast-paced environment with grace and efficiency. Discretion and a strong sense of responsibility are crucial for managing sensitive information.

Required Skills & Qualifications:
• Exceptional verbal communication skills with a clear, professional, and courteous telephone voice and etiquette.
• Strong active listening skills to accurately understand caller requests and identify their needs quickly.
• Ability to operate multi-line switchboard systems, PBX consoles, or other telecommunications equipment proficiently.
• Outstanding organizational skills and the ability to prioritize calls effectively in a dynamic environment.
• Discretion and a high degree of professionalism when handling confidential information and sensitive situations.
• Poise and patience to manage high call volumes and occasionally difficult callers while maintaining a helpful attitude.
